Auto Assignment

Automatically route feedback to the most qualified team members based on their skills, department, current workload, and expertise areas, ensuring optimal distribution and faster resolution times.

How Smart Assignment Works

Feedbackview's intelligent assignment system analyzes both the feedback content and your team members' profiles to make optimal assignment decisions that balance expertise, workload, and availability.

Intelligent Matching

Content Analysis

AI analyzes feedback type, keywords, and technical details to understand requirements.

Skill Matching

Compares feedback needs with team member expertise, department, and work types.

Scoring Algorithm

Calculates assignment scores based on relevance, availability, and workload capacity.

Workload Balancing

Capacity Tracking

Monitors each team member's current workload and assignment capacity.

Fair Distribution

Prevents overloading individuals by considering active assignments and workload status.

Dynamic Adjustment

Adapts assignment strategy based on team availability and changing workloads.

Assignment Strategies

Choose from three assignment strategies that determine how the system selects the best team member for each feedback item.

Best Match (Recommended)
Assigns based on highest relevance score combining skills and department fit

How it works:

  • Calculates skill relevance for each team member
  • Weighs department alignment with feedback type
  • Factors in current workload capacity
  • Selects highest-scoring available member

Best for:

Teams with specialized roles where expertise matching is critical for quality outcomes.

Default Strategy
Least Loaded
Prioritizes team members with the lightest current workload

How it works:

  • Identifies team members with capacity
  • Prioritizes by workload capacity level
  • Considers active assignment count
  • Assigns to least busy qualified member

Best for:

Teams where workload distribution is more important than perfect expertise matching.

Round Robin
Cycles through team members to ensure equal assignment distribution

How it works:

  • Tracks assignment history for each member
  • Assigns to member with fewest recent assignments
  • Skips overloaded or unavailable members
  • Ensures fair rotation across team

Best for:

Teams with similar skill levels where equal exposure to different feedback types is valuable.

Skill & Department Matching

The assignment system uses sophisticated matching algorithms to align feedback requirements with team member capabilities and organizational structure.

Department Alignment

Feedback types are automatically matched to the most relevant departments:

Configuration Options

Fine-tune the assignment algorithm with these configuration options to match your team's workflow and priorities.

Assignment Limits

Max Assignments per User

Set the maximum number of active assignments per team member (1-50).

Workload Consideration

Enable workload-based assignment limits using team members' workload status.

Fallback Strategy

Assign to next best match if the primary choice is unavailable.

Scoring Weights

Department Weight (40%)

How much department alignment influences assignment decisions.

Work Types Weight (60%)

How much specific work type expertise affects assignment choices.

Note: Weights are automatically balanced to total 100%. Adjust the slider to change the ratio between department and work type importance.

Setting Up Auto Assignment

Step-by-Step Setup

1
Configure Team Profiles

Ensure team members have completed their profiles with department and work types

2
Create Assignment Rule

Go to Automation → Create Rule → Select "Auto Assignment" type

3
Define Trigger Conditions

Specify which feedback types, impact scores, or keywords should trigger assignment

4
Configure Assignment Strategy

Choose between Best Match, Least Loaded, or Round Robin strategies

5
Test and Monitor

Enable the rule and monitor assignment patterns to ensure desired outcomes

Best Practices

Do's
Keep team member profiles updated with current skills and workload
Start with simple conditions and gradually add complexity
Monitor assignment patterns and adjust rules as needed
Use fallback options to handle edge cases
Set reasonable assignment limits to prevent overload
Don'ts
Don't create overly complex rules that are hard to understand
Don't ignore team member workload preferences
Don't set assignment limits too high without considering capacity
Don't forget to test rules before enabling in production
Don't rely solely on automation—manual override should always be available
